The Supply Chain Group, a business unit of the oil and gas midstream operator handling vendor management, including procurement, contracts, compliance, and property access, struggled with a range of problems with its business processes. Employees spent a lot of time dealing with paper documents, which had to be scanned and converted into PDF files. As the rules for separating scanned documents kept changing, there was confusion in the documents. This made data processing, especially extracting data and entering it into the internal systems, difficult. In addition, due to the large volume of documents, employees didn’t have time to scan documents in real time. Thus, the company had to hire temporary staff to scan stacks of documents. The unavailability of real-time access to the documents’ extracted data caused challenges with the lack of contract information for compliance, discount incentives, and compliance with safety, insurance, and insurance certifications.

With TerraLink’s support, the oil and gas midstream operator implemented new processes for contract and expense documents that use intelligent capture capabilities from OpenText products, including OpenText Content Server, OpenText Capture Center, and BRAVA!.

The solution allowed the operator to automatically import a PDF file and separate it into several documents based on data extraction rules and classification information from complex and variable PDF files which recognize patterns consisting of certain words or phrases and other document identification options. Data from the incoming unstructured and structured documents was supplemented with validation rules that adjust the context and format of the captured data, thereby making such data suitable for direct use by back-office applications. Automated separation, classification, and metadata processing increased the accuracy and efficiency of the legal and financial business processes that required actions based on captured content.
